In this quick-moving time, we must embrace technology that streamlines operations while empowering our employees to focus on delivering value to customers. At GMG, we have a network of 650 stores and growing, and have prioritised efficiency through automation tools in finance and reporting. These tools have revolutionised the way we handle time-intensive tasks, allowing our teams to focus on strategic activities.<\/p>\n The Challenge: Traditional Reporting Processes<\/strong><\/p>\n Managing the financial operations of 650 stores generates an enormous volume of data. In the past, tasks such as generating reports, reconciling accounts, and analysing trends demands extensive manual work. Processing sales data, preparing profit and loss statements, and tracking inventory discrepancies are all essential in a retail business but it often consumes hours or days. These manual processes not only drained time but also increased the risk of human error, compromising both accuracy and timeliness. Beyond this, it can be a mission to change traditional ways of working. \u2018If it\u2019s not broken why fix it?\u2019 \u2013 a phrase we often hear and apt for how some organisations behave. At GMG, we welcome innovation that helps improve systems and supports our team.<\/p>\n Our Vice President of Finance Rizwan Hafeez, has had a plethora of experience in his career where automation was not only an innovation but a must for businesses. Combining both the IT and Finance departments, the focus at GMG, is providing solutions not only for finance personnel but also for anyone in the business. The mission is that anyone can use the tools provided to instantly and accurately find what they are looking for.<\/p>\n Like any change, there is a grace period for working through potential resistance and a somewhat obvious fear of utilising something new.<\/p>\n \u201cI believe the key to any change is ensuring clear policies and guidelines are in place. Changes should never be made without team consultation\u2014at GMG, we want everyone to understand the “why” behind introducing any new tool.\u201d<\/em><\/strong><\/p>\n Over the past three years, the Finance team has worked on placing controls on how we can be more effective and efficient while ensuring adherence to governance and controls. The tools leveraged would save thousands of working hours and costs, making it clear why we should embrace innovation.<\/p>\n The Solution: Activating Automation<\/strong><\/p>\n Our incredible teams have faced these challenges head-on. We implemented automation tools like robotic process automation (RPA) and advanced reporting solutions. These solutions seamlessly integrate with our systems to handle repetitive tasks by mimicking human actions. As a result, tasks that once took hours\u2014like extracting sales data from multiple sources, creating unified reports, and distributing them to stakeholders\u2014now take just minutes.<\/p>\n Tasks that previously required hours of manually reviewing spreadsheets can now be completed with a single click. These include:<\/p>\n Impact on Efficiency and Employees<\/strong><\/p>\n The biggest worry when it comes to the use of technology is the impact on employees. Automation is not used to replace human roles but to enhance them, enabling employees to contribute their expertise where it matters most. It encourages employees to bring their best, creative selves to work since they no longer manage time-consuming, repetitive activities and instead have the opportunity to focus on maximising their impact. By reducing the time spent on routine tasks, these tools free our employees to focus on higher-value activities, such as analysing data for insights, improving customer experiences, and planning for growth. It goes beyond just financial reporting and analysis. This move towards automation could potentially see further streamlining in the other departments.<\/p>\n For instance, a store manager who previously spent half a day compiling financial reports can now dedicate more time to optimising store operations or mentoring team members. Similarly, our finance team can focus on strategic planning instead of being bogged down by manual data entry and verification.<\/p>\n Measurable Outcomes<\/strong><\/p>\n Since deploying automation tools, we have seen significant improvements in both efficiency and accuracy. We are continuously exploring new ways to harness automation and other advanced technologies to enhance our operations further. As our business grows, the scalability and adaptability of these tools will be pivotal in maintaining efficiency across all our stores.
